A specification sheet answers three questions in sequence: what is this, will it do the job, and how do I order it. Everything on the page should serve one of those. The block order below reflects how a specifier actually reads: identity first to confirm they have the right item, then the technical values, then compliance, then ordering.

Marketing copy is not one of the blocks. A short positioning line at the top is acceptable. A page of benefits pushed above the specification table is why specifiers ask suppliers for the datasheet rather than the brochure.

By category

The technical block is the part that changes.

The identity, compliance and ordering blocks are close to universal. The technical block is entirely category dependent, which is why a single generic template never fits: a circuit breaker, a pump and a workwear jacket need different fields, and forcing them into one layout produces sheets that are mostly blank.

The right unit of design is therefore the product type, not the document. Define the attribute set for each product type once, with units and permitted values, and let every product of that type render the same sheet. This is the same structure that classification standards such as ETIM impose, which is why teams that classify well usually produce good sheets almost for free.

Provenance

A sheet without a revision date is a liability.

Specification sheets circulate. A PDF emailed to a contractor in March is still on somebody's desktop in November, and if it carries no revision date the reader has no way to know it is stale. Every sheet needs a visible revision date, and ideally a reference back to a live location where the current version lives.

Where a value came from a supplier rather than from your own testing, say so. A sheet that distinguishes a manufacturer-declared value from a measured one is more useful, and considerably safer, than one that presents everything with the same confidence.

Generation

Generate the sheet, do not maintain it.

The moment a sheet is a document, it is a copy. The specification changes in the catalog, the document does not, and the two disagree until somebody notices. A sheet generated on request from the approved record cannot drift, because there is nothing to drift from.

What is the difference between a spec sheet and a datasheet?

In practice, very little. Technical industries tend to say datasheet and to expect more detail and tolerances. Commercial and construction contexts tend to say specification sheet. Both need the same blocks.

Should the price be on the sheet?

Usually not. Prices change more often than specifications and vary by customer, so a printed price ages the sheet faster than anything else on it. Reference the ordering route instead.

How long should a specification sheet be?

One page where the product allows it, two where the technical block genuinely needs it. If a sheet runs longer, the extra material is usually marketing copy or an installation instruction that belongs in its own document.

Do I need a different template per language?

You need the labels translated, not the template redesigned. If the attribute set is defined once with translatable labels and unit handling, the same layout serves every language, which is far cheaper than maintaining separate documents.
